MINUTES OF ADMINISTRATIVE COUNCIL MEETING FEBRUARY 10, 2009
The meeting opened with prayer by Pastor Dave at 7:00. Those in attendance were Pastor Dave Repenning, Doug Cunningham, Bob Fitch, Marilyn Schultz, Helena Hahn, Alan Hahn, Sheila Cunningham, Barb Repenning, Rachel Hendricks, Laura May, Diana Mann and Dori Stewart.
The minutes from the January 2009 meeting were reviewed and approved. The decision was made to have the minutes posted on the Church website after approval of them by Ad Council. Motion was made to adopt this decision by Bob Fitch and seconded by Sheila Cunningham.
Financial Reports
Bob Fitch reported that in January we had a $3,000 shortfall of expenses over income. Speculation was because of weather and poor church attendance. The weather also necessitated an expense of close to $2,000 for plowing. However, all payments and apportionments were met. The anticipated deficit from the Ann Street School was discussed, as was the expected grant money. Permission was given for Bob to establish a grant money account once it gets reviewed, with the co-signers to be Bob Fitch and Diane Thatcher. Alan Hahn motioned to accept this decision and it was seconded by Marilyn Schultz.
Trustee’s Treasurer
Trustee’s met with Wayne Bank in regard to the C.D. accounts. The funds will be labeled as “Trustees” on the accounts. Signers will be changed to Alan Hahn, Theresa Rocco, and Warren Teets. Two signatures are required for all transactions. In the future the signers will automatically roll over to the newly appointed trustees.
The current treasurer’s report was reviewed and said to be in good order.
Trustees
The bell tower /steeple project is continuing to make good progress. Alan explained in detail how the bell tower was not properly braced from the beginning and how it will be improved in the future. The trustees are waiting for the cost estimate and then they can apply for a permit application.
It was noted that all the emergency lighting has been installed and is in working order. The work was done by Mike Colvin. The pew cushions (from the Milford Presbyterian Church) are being looked into for use. Alan Hahn spoke with a local upholster in an effort to get a cost per pew to remodel them to fit the pews. Anyone with experience or knowledge on the subject could contact the trustees.
Natural Church Development
The first meeting with Jack Scharf was on February 6, 2009. He will present a program explaining NCD to the congregation on February 15, 2009. Surveys will be taken on Sunday February 22nd and March 1st. The next meeting with Jack will be March 13, 2009. The team members are Pam Houskeeper (chairperson), Dick Weifert, Barbara May, Alan Hahn, Rachel Hendricks, Jackie Viserta, Dori Stewart, Jane Frey, Gretel Metzger, (Laura May and Pastor Dave).
Pastor Dave handed out forms for the District Day of Learning which is February 21, 2009. Forms should be returned ASAP.
Worship Committee
A worship and music committee has been formed. Those who have agreed to serve are Nancy Heim, Bob Fitch, Mary Ann Gittens, Liz Nathan, Marilyn Schultz, Sheila Cunningham, Laura May, Pastor Dave and Jeff Fornoff.
Jackie Viserta and Stacey DeFrancesco are currently enrolled for a lay speakers course on March 7th, 14th, and 21st. The cost of the course is $50.00 each. Motion was made for the church to pay this fee for each attendee by Bob Fitch and seconded by Doug Cunningham. Laura May and Pastor Dave would like to invite Jackie and Stacey to be part of the worship committee
Sunday school
Barb reports that in January attendance in Sunday school was low; approximately 20 children participated each week. On February 22nd (Children’s Sunday) the Sunday school children will sing during worship service. The suggestion was made to utilize the one room schoolhouse curriculum from Cokesberry for the spring session.
Scholarship Committee
Leslie Lordi is excited to work with the church youth. She has information on Summer Camps, Taize and Search Weekend. She is trying to network with the youth. Her e-mail address is available through the church office. College Scholarship information will be posted in the fellowship hall.
Missions
Communion offering for February (Souper Bowl Sunday) totaled at $204.00. Money will go to local outreach. Soup is donated to the Food Pantry. The offering for March will be for UMCOR, One Great Hour of Sharing.
Those involved in missions are looking for a local project and possibly forming a mission’s team.
Lenten Soup Suppers
Lenten Soup Suppers will begin on Wednesday, March 4, 2009 and serve every Wednesday through April 8, 2009. Team Captains and helpers will be needed. Sign up sheets will be posted.
United Methodist Women will meet and discuss soup suppers on Saturday February 14, 2009.
Festivals
Lil Colvin will once again be the chairperson for the festivals. The decision was made for 2 festivals this year. The dates will be June 20, 2009 and October 3, 2009. Vendor registration will be $30.00 per festival and $50.00 if registering for both festivals. Lil has requested guidance on spending. It was decided that the Finance Committee would provide guidelines.
Other
Renewal for membership in the Pike County Chamber of Commerce is due. The amount for a one year membership is $50.00. It was concluded that the chamber does a great deal to promote our church and its events through their website and through printed materials. Rachel Hendricks motioned we renew the membership at the cost of $50.00, and it was seconded by Sheila Cunningham.
Pike County Advanced Life Support requested a donation which was voted down, as we recently donated to the Milford Fire Department Ambulance.
Barb Repenning and Lil Colvin would like to set a date to show the movie Fireproof at the church. Barb will research the idea and check for any fees involved and see if the church should perhaps buy the movie.
Barbara Falkowski has resigned as auditor effective immediately.
The meeting closed with prayer by Doug Cunningham at 8:00 p.m. The next meeting is scheduled for Tuesday March 10, 2009 at 7:00 p.m.
